Discontinued Private Label Items after unpublishing "deleting" in IM

What is the best practice for managing discontinued Private Label (PL) items in IM under our GLN? 

For database "optimization", is it best to request deleting the GTIN from our GLN in 1WS and the GS1 Registry?

Since they are PL GTIN's we potentially do not own, are we even "authorized" to remove from our GLN?

Hello @HelenMC and thank you for reaching out via our customer community.  Welcome.  You ask a couple of good questions that I am going to answer with best practice suggestions but strongly suggested.  

When you need to populate the Discontinued Date with a current (not future) date for a currently published item, the best practice is to FIRST DELETE THE PUBLICATIONS FOR THAT ITEM.  Sorry for the caps but it is just so important.  Once deleted, you can then populate the Discontinued Date to de-register the item.  If you were to populate the Discontinued Date with a current date before deleting the pubs, you will run into issues for your reporting and that of your trading partner.  

There are 4 attributes that make an item unique and those same 4 attributes are what is used to register your item with the Global Registry.  Those are GLN, GTIN, Target Market, and GPC.  That means, even if other companies are publishing the same GTIN from their own GLNs, yours is unique because it came from your GLN.  You could also let any of your contacts for impacted trading partners know you are discontinuing your items.  Technically, when you delete a pub, it lets your trading partner know you are breaking synchronization.

I did not delete the publication from the recipient before updating the discontinued date. What are the best practices to correct this?

Is the Discontinued Date a future one or a past one, please? If it is a future date, you are fine as the item has not been discontinued yet, therefore you can Delete the publications first and then update the Discontinued Date afterwards.

If, on the other hand you already saved a current or past date, this de-registers the item. In this case you can update the date to a (placeholder) future one, wait a couple of hours for the update to flow through to your retailers, then Delete the publications and then you can update the Discontinued Date to the intended one. Thanks!

Thanks @Val_P for the quick reply, it was for today. Some recipients have already sent a CIC asking for missing data which was the indicator I did not following best practices. Research lead me here. Thank you for the feedback!
