As an Organization Admin for your company, you can create and update user access via our User Management Application (UMA).  Adding users is easy so please follow the steps below and let us know if you have any questions by commenting on this article..  

Best practices for managing user access in UMA:

  • Admins should NEVER delete a user from UMA.  Users should only be activated and deactivated.  Removal of users from UMA can negatively impact backend tables for the User ID.  We are working to remove this option in UMA in a future release.
  • Only admins can add users in UMA.  If you are unsure whether you are an admin for your company in UMA, look for the Add a User button in UMA.  If you do not see one you are not an admin and will need to contact one for your company to make user changes in UMA.
  • Once a Login ID is created with an email address, no further editing is allowed for that ID field.  If the email is in error or a user needs more than one Login ID, the admin can create another entry with small variations in the email address in the Login ID field.  For example, if the email was communityuser@yourcompany.com and changes are needed, the admin could create another with the Login ID communityuser1@yourcompany.com.  The email address field can have the same email address for different Login IDs.
  • The login ID must be unique and have not been used before.  The login ID can only appear once in UMA.
  • The best practice when creating the user ID is to use no upper case letters.  Try to make the usernames all lower case and the user can then make their password whatever they need for security purposes.  
  • When adding PI/VIP access to users, only click one of the two options: Supplier Entry or Supplier Read-Only.  If both are selected, the Supplier Read-Only role will override the functionality of the Supplier Entry role.
  • Log in using your same credentials for Item Management Production UMA to add a new user.
  • Click on the Add user icon.

  • On the form, populate all the attributes marked with an * and the State field if the country is the US.  The Login ID must have an email format and it does not necessarily have to be a valid email address.

Below are the roles UMA admins can use to best manage user access from a best practice standpoint.  If you have questions regarding these roles, please ask in the comments area below.

Publisher Trading Partner System Administrator (TPSA)

The TPSA user role provides full access to all functionality in IM. There are no restrictions for the user in IM.

Item Manager

User access is similar to the TPSA role with some restrictions. The Item Manager role restricts these actions:

  • Cannot link items via batch (FUSE)
  • Cannot publish items via batch (FUSE)
  • Cannot create subscriptions to trading partners (recipient/distributor)
  • Cannot review subscriptions by GLN in subscription reports (recipient/distributor)
  • Cannot see or submit item authorizations in the subscription reports(recipient/distributor)

Publisher General User

User access is further restricted in IM. The Publisher General User role restricts these actions:

  • Cannot add items, modify items, or validate items in IM
  • Cannot publish items
  • Cannot perform any batch transactions (FUSE) other than export an item
  • Cannot create subscriptions to trading partners (recipient/distributor)
  • Cannot submit item authorizations in the subscription reports(recipient/distributor)

  • On the form please make sure to change the UMA role to either:
    • User Admin if you would like the user to have the possibility of editing other user's roles and permissions or
    • End User if you would like them not to have user edit permissions.

  • Under Service Offering selections, you have the systems the user is going to have access to and can add where you want the user to have access: 
    • Item Management: check the box, click on Manage Profile, and select TPSA (Publisher Trading Partner System Administrator) for the IM role; that role will allow the new user to add, edit, and publish items.

Managing Digital Catalog User Access

  • If you need to add a user for Digital Catalog select the Digital Catalog box, then click on Digital Catalog Attributes and select the desired DC Role. For which role to select please see: https://community.1worldsync.com/t5/DC-Quick-Sheets/tkb-p/DCQuickSheets.
  • The user must also have Item Management (IM) access activated. For users needing access to Digital Catalog only, there is a DC User Only option for the IM Role to select.

Add PI/VIP User roles in UMA

  • When adding PI/VIP access to users, only click one of the two options: Supplier Entry or Supplier Read-Only.  If both are selected, the Supplier Read-Only role will override the functionality of the Supplier Entry role.
  • Product Introduction: check the box, then click on Manage Roles and select Supplier Entry under Kroger and Albertsons as they are included in the service.
  • Click Save to save the user.

Trying to add a Sales Broker as a user for Harris Teeter.  UMA says that her email address is already being used as a log in, however it does not appear in my list of authorized users.  She claims I just need to send an email to 1WorldSync to giver her access.  I need to issue her a password so she can get started.  What do I really need to do in this instance?

Hello @Tkentosh and thank you for reaching out.  It is actually common for a broker to have their primary email address used already.  The work around is to create their access under your GLN with a username that is a revised version of their email.  For example if mb@1worldsync.com were my email and is already used, you could create their username in UMA as MB2@1worldsync.com and enter their real email address in UMA where it requests email address.  Brokers are used to these type of changes as an email address can be in UMA only one as a user ID.

Hello, I am not able to access the link for the UMA User Guide & Best Practices (I am an admin for my company)-- it takes me to an "Access Denied" page. Is there another location for this information?

Hello @A_Flower and welcome back.  In UMA, as an admin, you can disable users by toggling their access from green to red in the search results.  We do not recommend deleting users from UMA.

Good afternoon,

I just added a broker for access to Kroger VIP. She stated that the link she received only lasted 15 minutes so she didn't get to finish her information.

I'm not familiar with what she's talking about.

Is there something else I need to do to re-send the link she is referring to?

I just went back into UMA and I'm not seeing anything there.

Hello @A_Flower .  I hope you are doing well.  There is a timing mechanism for new passwords that only lasts for 15 minutes.  If you reset the brokers password in UMA and let them know they have 15 minutes to change it, they should be good to go.  You can reset their password in UMA:

Hi @CommunityJedi22 , 

Is there a way to add a user to only view a subset of products within Item Management? E.g. we have a partner distributor who requests access to our Item Management catalog and they only deal with a handful of our products and they wish to utilize the GDSN to publish item information to their own respective trading partners. 

Would this be possible at all? I am looking to create a new user for them as a Item Manager or Publisher General User but I only want them to access a list of products. They will also need the capability to publish the item list to different recipients. 

Please let me know if this is possible at all. If not, please advise the best approach for this situation.

Hello @minhlam1, thank you for reaching out to our customer community.  Welcome.

Once a new user is added, that user will have access to all item information on the account as long as the user has access to that specific system (Item Management) or the retailer (Product Introduction - here each retailer has different access). There currently is no way to create a user to view only a subset of products in Item Management. 

That being said, there are built-in safety measures for your items and they can not be deleted or purged from Item Management without an Admins' request or at least approval for example, if this was a worry.
